The Designer Survival Kit: What You Need Before You Open Your Mouth

1. A Brand Kit (Not a Vibe)

Branding is not “a logo you like.”

Branding is the system your business uses to look recognizable and cohesive everywhere it shows up.

Think of it as the outfit your business wears in public.

A brand kit defines:

• Color palette

• Fonts

• Logo usage

• Shapes & visual patterns

• Personality and tone

These rules ensure your website, social posts, business cards, and marketing materials all look like they belong to the same family.

Here’s the hard truth most small business owners don’t want to hear:

If your website, social media, and business cards only have one thing in common—and that thing is your logo—you do not have a brand.

You have a collection of unrelated visuals sharing a ZIP code.

A True Story (and a Cautionary Tale)

A friend of mine—an attorney starting her own firm—asked me to design a “modern” logo using her initials inside the scales of justice.

I paused. Knowing her personality, I suspected she meant traditional.

She insisted on modern.

So I designed a modern logo:

• Clean lines

• Minimal detail

• Monochromatic or Limited Colors

• Very Frank Lloyd Wright energy

She hated it.

Of course she did.

What she wanted was traditional design—ornate, symmetrical, inspired by 18th–19th century aesthetics, just like most courthouses and law firms.

She wasn’t wrong about what she wanted.

She just used the wrong word.

Designers assume that if you speak industry jargon, you understand it. If you don’t, misalignment is guaranteed.

Words like edgy, calm, playful, elegant, and luxury mean different things to different people.

Design is visual.

Communicate visually.

If you want:

• Calm → show calm

• Edgy → show edgy

• Elegant → show elegant

Screenshots, Pinterest boards, Instagram posts—anything that visually represents what you’re aiming for.

Actionable Takeaway

• Provide 3–10 visual examples

• Explain what you like about them

• Don’t assume designers will interpret abstract words the same way you do

This one step alone can cut revision rounds in half.

4. Give Feedback That Can Actually Be Used

If your feedback sounds like:

• “It’s weird”

• “Make it pop”

• “I just don’t like it”

That’s not feedback. That’s emotional static.

Constructive feedback gives your designer something to build with.

Instead of:

“That font is ugly.”

Try:

“I want the font to feel more luxurious.”

Instead of:

“It doesn’t pop.”

Try:

“Can we increase contrast here?”

“Can we use a brighter brand color in this section?”

“Would a shadow help it stand out?”

In 1999 I applied to a title related position at one of the big underwriters. I actually got a call from HR because back then HR wasn’t AI. And I actually got hired to do a job, but it’s not what you think.

You see the woman from HR wasn’t calling me as a representative of her day job. She was in the process of starting a side hustle and saw on my resume that I knew how to do web design. I answered a few questions and boom, before I knew it I’d been hired as a professional web designer. My very first client.

That’s pretty much how my whole career has gone, if I’m being honest.

I am not exclusively a title agent and business consultant turned title documentarian. I occasionally take on freelance work. It keeps my skills fresh.

Right now, my web design skills seem to be in high demand and it has been a reminder that the problems that were plaguing businesses back when I started doing web design in the late 1900s, unfortunately, haven’t changed.

So today we’re not talking about my services. But we are talking about some of the reasons I still get gigs I never asked for because something has gone horribly wrong.

The Web Design Problem That Never Ends

This episode exists because I’ve had the same conversation over and over again for decades.

Different businesses.

Different budgets.

Same outcome.

Someone hired a cheap designer.

Or a “free” one.

Or a friend of a friend who “does websites.”

And now, well, the lucky ones are stuck with something that looks… fine.

But doesn’t work.

Doesn’t convert.

Doesn’t grow with them.

And—this is the big one—

they’re afraid to touch it.

So let me tell you a story.

The Website that Looked Fine But Wasn’t

I was hired to replace a website for an arborist company—Carmichael Tree Specialists.

Real trucks.

Real crews.

Real risk.

They hired an overseas designer through a low-cost platform. The site wasn’t ugly. It wasn’t broken at first glance. It looked modern. Clean. Professional enough.

But it was doing almost nothing.

The copy explained what an arborist is—

but it didn’t speak to the homeowner lying awake at night worrying about a tree hanging over their roof.

There was no meaningful search engine optimization—

which matters a lot when your customers are searching “tree service near me.”

No brand guidance.

No cohesion with their trucks, their cards, or their signage.

And then we opened the backend.

This is the part people never see.

It wasn’t that the owner didn’t know WordPress. That would’ve been completely reasonable. WordPress is not beginner-friendly.

The site was actually broken.

Editing text caused layouts to collapse. Buttons disappeared. Images misbehaved. Fixing it would’ve taken as long as rebuilding it properly on a platform the owner could actually use.

So we started over.

New brand kit.

New copy.

A platform that wouldn’t punish the owner for touching their own website.

And that’s when it hit me—again—

cheap websites don’t save money.

They just delay the cost.

When people hear I charge $3,000 for a basic four-page informational site, they think they’re paying for pages.

They’re not.

They’re paying for thinking.

That site takes me 20–30 hours to build. That’s under $100 an hour, which is actually low in professional web design.

The Free Website that Costs Months

Let me tell you another story—this one still makes my eye twitch.

My friend Kelly is starting a business called Salted Herb Co.

She was offered a free website from a brand-new web design startup. New business, no budget—price was right.

They didn’t set up her DNS.

They didn’t explain what DNS even is.

They handed her instructions and told her to do it herself.

After two days of frustration, she called me.

Thank goodness she did.

If she had followed their instructions correctly, she would’ve broken her email. Completely. The kind of mistake that makes people hate Google for all the wrong reasons.

Why didn’t the web company do it themselves?

You got me.

Three months later?

Still no website.

Kelly gave up.

She’s opened an Etsy shop and is forwarding her domain to it just so she can move forward.

Here’s something you should ask before you hire anyone:

What do I need to be able to do on this site without help?

Update text.

Change hours.

Add products.

Post a blog.

If the answer is “email the designer and wait”…

you’re not buying a website.

You’re buying dependency.

And that brings me to the big lie.

The Big Web Design Lie

Most web designers will tell you they’ll make small updates anytime you need them.

Most of them won’t.

Not because they’re evil but because it’s a terrible business model.

Fifteen-minute updates are interruptions, not income. So requests get delayed. Then ignored. Then quietly avoided.

Years pass. Your site becomes inaccurate. You hate it. Eventually you pay someone else to rebuild it.

Or you’re paying a monthly “maintenance” fee—mostly for access—while hosting quietly costs about $10–$20 a month.

Sometimes that model makes sense.

Often, it doesn’t.

SEO: You May Not Need What You’re Being Sold

While we’re talking about lies, let’s talk about one of the biggest ones I see pushed on title agencies specifically, all the time!

The lie that you need to be worried about SEO or search engine optimization. This is when your website is specially designed to rank high in search engine results.

It’s an ever changing art form all on its own and the people who are good at it, and the people who just think their good at it will charge a premium for their services.

I once had a struggling agency ask me to analyze their website for search engine optimization. They’d paid some company a boatload of money for their services and were convinced they’d been swindled because the website wasn’t producing any leads at all.

They’d been swindled alright, but not because the company didn’t deliver what they sold, but because the company sold a service that wouldn’t deliver results.

Let’s take a Quick clarity check.

If you run a local service business—construction, plumbing, landscaping—SEO matters. A lot. Even today in 2026.

If you run a title business?

Trust me, no one is Googling you. No one knows what you do.

Don’t take my word for it. I’ve dropped a chart in the show notes that shows the search volume from 2004 to now for the terms “title insurance agent” and “real estate agent.” There is a little blue line at the bottom of the chart that almost looks like the chart border itself. That’s the title agent search volume.

SEO often matters far less than positioning, clarity, and trust.

Anyone selling the same web package to both businesses isn’t thinking about how customers actually find you.

They’re selling convenience—for themselves.

Why Vetting Your Web Designer Matters

But is it actually useful for the real lives of micro-business owners? Or is it just another tech giant selling you back the time they stole in the first place?

Let’s break it down—without the corporate fluff.

What the Hell Is PDF Spaces?

Think of PDF Spaces like an AI Powered digital war room for your project documents. Instead of digging through 27 tabs, hunting down that one contract you swear you saved in Dropbox, and re-typing the same email for the 19th time—PDF Spaces tries to put it all in one place.

Upload up to 100 files (PDF, Word, Excel, PowerPoint—basically whatever’s cluttering your desktop). Then? Ask the AI to summarize, compare, or draft content from those files. Contracts, invoices, customer feedback, marketing plans—it’s all fair game.

In short: it’s Adobe’s version of an AI assistant who (hopefully) doesn’t hallucinate your tax numbers.

Why Micro-Business Owners Should Care

Let’s be honest: most of us aren’t managing billion-dollar acquisitions. We’re managing chaos. We wear all the hats—CEO, bookkeeper, marketing team, IT help desk.

Here’s where PDF Spaces might actually save your sanity:

• Organize Your Project Files → Dump everything in one workspace so you’re not hunting files like it’s a bad scavenger hunt.

• Summarize Without Suffering → Don’t read 200 pages of legalese; let the AI pull out the “don’t sign this, it will ruin your life” clauses.

• Create Content Fast → Draft proposals, emails, or even social posts straight from your documents. (Finally, an intern who works for less than minimum wage.)

It tries to sound like you can upload ALL of your documents and work across them in any way you want, forever. Well, if you've been in business for more than a hot minute, or unless you’re the Marie Kondo of the digital world, the 100 document limit will put a damper on this plan. I'd suggest you think of more like, all the documents for a specific project, department, or product. You can have multiple spaces with up to 100 documents per space, but you'd better organize them well.

✨File Limitations:

PDF Spaces is fabulous for PDFs and Acrobat users—less magical if your source truth is a living Google Sheet or a SharePoint list. (You can bring links/files in, but it’s still an Acrobat-centric flow.)

• PDF Spaces doesn't support image files, spreadsheets, password-protected files, files with usage restrictions, videos, pdf portfolios, or even PDF files that use unsupported features like handwritten notes.

• You are also limited to file sizes up to 100MB

• Each file can contain up to 600 pages.

By contrast, Gemini and Copilot work in situ on Drive/OneDrive, which often means fewer exports and less “file juggling.”

ChatGPT Projects are lighter-weight with ~20 files, which can pinch for bigger research scrapes

✨Brand Voice:

Other AI Chatbots such as ChatGPT will learn and write in your brand voice. It doesn't seem like Adobe's AI does this

✨Internet Connectivity & Large Language Model:

Adobe's AI assistant is limited to writing based on the content of the documents and any specific websites you direct it to. It isn't writing from a Large Language Model of knowledge and it doesn't automatically search the internet to learn things it doesn't already know from the documents. This could be seen as a positive or a negative depending on your use case.

✨Citations vary by platform.

• PDF Spaces emphasizes easy-to-view citations in answers—excellent for “show me exactly where you got that.”

• Google’s NotebookLM also cites sources robustly; Gemini in Drive can synthesize across files/folders but the citation experience depends on the specific app/workflow.

• Microsoft Copilot Chat provides linked citations (especially for web-grounded answers) and file references inside Microsoft 365. Expect the experience to differ by app.

How Does Adobe PDF Spaces Stack Up to the Tools You Might Already Be Using?

If your work lives in PDFs (contracts, proposals, research, PDFs exported from Word/Sheets):

PDF Spaces is built for you. It lets you pull up to 100 files (plus links) into one workspace, ask questions, get summaries with inline citations, add notes, and share the whole space with collaborators. It’s native to Acrobat’s new hub (“Acrobat Studio”), and it shows its work—useful when stakes are legal/financial.

If your work lives across Google Drive (Docs, Sheets, Slides, folders, email):

Gemini in Workspace shines inside your existing files. You can ask about several files or entire folders from the Drive side panel, even drag in specific sources so the model knows what to use—then export to Docs/Sheets. NotebookLM (a separate Google tool) adds strong source-linked citations for research notebooks.

If your work lives in Microsoft 365 (SharePoint/OneDrive, Teams, Outlook):

Copilot sits on top of your company graph. It can summarize multiple files right from OneDrive and even compare selected files—handy for vendor contracts and version drift—while staying inside your compliance stack. Pricing is an add-on.

If you want an AI workbench that isn’t tied to one ecosystem:

ChatGPT’s Projects organize chats, files, and instructions in one place (great for creative/strategy work), but there’s a ~20-file limit per project and—key difference—Projects aren’t designed for “share a whole live workspace with a client” the way PDF Spaces is. However, no-code tools like Magic Cloud to upload thousands of files, index them into a database and connect a ChatGPT Custom GPT to that database.

Cost reality check:

• Adobe: PDF Spaces is part of Acrobat Studio / AI Assistant plans (free until Sept 1, 2025, then paid; early-access pricing is shown on Acrobat pages). The AI Assistant Add-on is $6.99/mo in addition to your Adobe plan, or get it included with an Acrobat Studio plan for $24.99/mo.

• Google: Gemini Advanced/Google AI Pro is typically $19.99/mo; Workspace features depend on your plan, but Standard which includes Gemini is $14/mo

• Microsoft: Copilot for Microsoft 365 is $30/user/mo on top of your M365 plan.

If your day is powered by PDFs, contracts, and compliance-heavy docs, Adobe’s PDF Spaces is genuinely useful: organized workrooms, quick summaries, and shareable spaces without version-chaos. If your truth lives in live Docs/Sheets or OneDrive/SharePoint, Google or Microsoft still win for “work where the file already lives.” If you need brand-voice content generation or a flexible AI workbench, ChatGPT remains the heavyweight.

Pick PDF Spaces if…

• Most source material is PDF-centric (contracts, proposals, reports, research).

• You need inline citations and a client-friendly space to collaborate.

• You want project-bounded organization (≤100 files per space) without migrating your whole cloud.

Pick Google Workspace + Gemini if…

• Your team lives in Drive/Docs/Sheets and you want AI inside those files and folders.

• You do a lot of multi-file synthesis and prefer one-click export to Docs/Sheets.

Pick Microsoft 365 + Copilot if…

• Keep your day-to-day docs in Drive or OneDrive with Gemini/Copilot for “work-in-place.”

• Draft high-polish, on-voice assets in ChatGPT, then file the final PDFs back into Spaces (or Drive/OneDrive) for sourcing and shareable context.

Do This Next (a 45-Minute, No-BS Trial)

1. Choose one live project (proposal, launch, vendor selection).

2. Stage your files: 15–30 relevant PDFs/Docs under 100MB each.

1. In PDF Spaces, ask:

   • “Summarize the three biggest risks and where they appear.”

   • “Extract all deadlines, amounts, and signature requirements.”

   • “Draft a client-ready email summarizing decisions and next steps.”

2. In your primary suite (Google or Microsoft), run the same prompts on the same set—in place.

3. In ChatGPT, paste the same summaries and ask it to rewrite in your brand voice and format as a proposal/brief.

4. Pick the combo that reduces your clicks and gives you usable output in one pass. That’s your stack.

Your business doesn’t need another shiny tool. It needs the fewest tools that buy back the most time. If PDF Spaces helps you stop spelunking through folders and start making decisions faster, keep it. If not, you just saved yourself a subscription and an afternoon of swearing.

"Ophelia," Darla said gently, "why are you whispering into the toaster?"

"It’s not a toaster. It’s a document workspace. Obviously."

She blinked at me. I blinked back. One of us blinked in a different font.

We were in the Business Witch Academy student lounge—a cozy disaster of tea leaves, tangled ethernet cables, and sentient scrolls that keep trying to unionize. I had converted the central study table into a command center of AI experimentation. Floating holograms of PDF thumbnails were orbiting my head like over-caffeinated moons. Mortimer, my prone-to-existential-crises-squirrel-familiar-slash-spiritual/business-advisor, was perched on the edge of a stack of unsigned NDAs, eating what might have been a contract.

“I stayed up all night,” I announced, arms wide like a stage magician revealing a rabbit made of spreadsheets. “Introducing—Ophelia’s Adobe PDF Spaces of Strategic Clarity and Possibly Regret!”

A third-year enchantment student snorted milk out of her nose. I didn't realize it yet, but Cheryl was, at that moment, just passing through, and paused outside my attention span. She just sipped her coffee and waited.

“I’ve uploaded seventy-eight documents. Categorized them by project type, urgency, threat level, and how much emotional damage they do when opened.”

I gestured dramatically. “Then I asked the AI to summarize the entire ‘client disaster from spring equinox’ folder, cross-reference it with three vendor contracts, and draft a refund policy that doesn’t sound like it was written by a disgruntled mushroom!”

“You mean like your last one?” Cheryl said without looking up. “‘No Refunds, No Regrets, No Contact Spells After Sundown’?”

“That was a vibe!” I squawked.

“It was a lawsuit.”

“Allegedly.”

She raised an eyebrow.

I chose to ignore her and launched into evangelist mode. “But this—this is the future! No more tab apocalypse! No more ‘Final_FINAL_REALLYFINAL2’ files! Just...upload, ask, get answers. It even does summaries with citations. Like footnotes, but sassier!”

Cheryl tilted her head slightly, that infuriatingly gentle smile playing at the corners of her mouth—the one that says, I’m not judging you, but also… I know exactly what’s happening here.

“Hey, quick question,” she said, stepping into the chaos orbit of my workspace. “You use a spreadsheet to track your suppliers, right?”

I nodded, still aglow with the unearned confidence of someone who hasn’t tested anything but already believes.

“Can this integrate live with your Google Sheets?”

Pause. "I, well, uh, I'm not sure. I haven't tried that yet. But I'm sure it does! How can it not?"

“Mmm,” she said, not with skepticism but with that tone that suggests she knows something that I clearly don't. “Ok, you should make a note to look into that. And you’ve trained ChatGPT to sound exactly like you, with all the sparkle and dragon metaphors. Does this do that?”

I shifted uncomfortably. “I can… copy-paste things into other tools…”

“Sure," she nodded. "And how many files can live in each PDF Space?”

“One hundred,” I proclaimed proudly, as if I hadn’t just uploaded seventy-eight files and labeled them things like ‘Mildly Traumatizing But Important’ and ‘DO NOT OPEN WITHOUT A SNACK.’

Cheryl sipped her coffee. "How many files are on your Google Drive?"

“...Unclear,” I muttered. “Somewhere between ‘respectable’ and ‘digital hoarder.’”

“I see. And your new sticker designs? The ones with the glitter-bats and enchanted font chaos? Can this tool read image files and write product descriptions the way ChatGPT does?”

I opened my mouth, then closed it with a soft wheeze that sounded like excitement escaping from a balloon at a pre-birthday party setup shindig.

"I have one last question. I'm not looking for an answer, it just one for you to ponder," she said without gloating, "What problem with your current system were you trying to solve?"

Her eye held compassionate, but the question made me want to eat my keyboard, and not in a candy coated, the clacking is satisfying sort of way.

But also…

I got it.

She wasn’t poking holes—she was holding up a mirror. And I, predictably, had spellcrafted an entire new system because it felt like forward motion. Like progress. Like transformation in a tidy, UI-optimized box. But if I was fixing a system that wasn't broken, was that really progress? Or just a hamster wheel of busi…wait, Busy ness? No. Busy-ness? Bus-i-ness…Business is also the word busy-ness?

Smoke errupted out of my ears. I think my brain might have just exploded.

Cheryl took that moment to wander off, coffee still in hand, as if she hadn’t just dismantled my entire existential filing system in five questions and a raised eyebrow.

Scrambling to shove my smoldering brain back into my head, I barely managed a whisper as she walked away, "How?"

She turned back to me, looking slightly more amused, like she was in on an inside joke, only I didn't know what the joke was. "Hmm?"

"How do you do it?"

"Do what?" she asked, innocently, as if she didn't know.

"How do you know about every new technology before anyone else? How do you know what mistakes I've made and more so, why I've done it? How do you know me better than me?" I gushed, and maybe whined a little.

She might have sighed a little. "Truth?"

I shook my head. I noticed several other students nodding too. I think we were hoping she'd reveal the true secret to her business magic.

"I don't? I've been there done that? I can see the threads that interweave and connect everything in this universe forming patterns that most people can't see?"

Her answers sounded more like a bunch of questions, like maybe I'd know the real answer. I just stared at her. No one moved. No one said anything. Maybe she was joking? We were waiting for the big reveal.

She smiled in a way that seemed more wistful than mischievous, which I didn't understand considering what she said next. "Maybe I've just lived a thousand lives inside the span of a single human life, hoping through time, like you do Ophelia, and ultimately there's nothing new under the sun."

She turned then and walked away.

We were all silent for a beat, still trying to make sense of what she said. Then Mortimer, apparently finished eating my contract, blurted out, "That might have been the best non-answer I've ever heard!" He scurried off. Probably on the hunt for some acorns to wash down that legalese. I've heard it can be pretty bitter.

So, what did we learn?

One: Mortimer will eat anything, including NDAs, which probably makes him an accessory to fraud. And maybe a racoon.

Two: Cheryl has the unnerving ability to make my brain explode just by sipping coffee and asking five very polite questions.

And three: not every shiny tool is meant to be my salvation. Some are just tinsel in disguise.

Ping! "You've Got Mail!" Cheryl just sent me a link to an article. I'm not sure if she wrote this before our conversation today or if she whipped it up, but the article is called: "Adobe Just Dropped PDF Spaces. Here’s What Small Business Owners Need to Know (Without the Hype)." I'm going to go read this, you probably should too.

The truth is—I’ll probably chase another dopamine goblin tomorrow. Maybe you will too. That’s okay. Because every detour, every midnight filing cabinet reinvention, every whispered toaster—turns into a story, a lesson, a breadcrumb on the weird, sparkly trail of running a business that doesn’t quite fit the template.

One topic that keeps coming up over and over are sales funnels and customer journeys. Only, no one ever uses those words! Instead they say things like…

• “I don’t know where to find new clients.”

• “My list isn’t growing.”

• “People like my stuff but never buy.”

• “People download the lead magnet but then disappear.”

• “People say they’re interested but ghost me.”

• “I feel like I’m talking to a wall.”

• “I don’t want to be annoying.”

• “Everyone just wants free advice.”

• “I hate selling.” or "I hate marketing."

• “My discovery calls go well but don’t close.”

• “I’m doing so many things but nothing’s working.”

• "I'm overwhelmed."

• "I don't know where to start."

• “I’m tired of reinventing the wheel every time.”

• “It’s too much to keep up with.”

• “I don’t have time for marketing.”

Any of that sound familiar to you? It all points to a problem with your sales funnel.

I think the reason people don't just come to me and say, "How do I build a good sales funnel?" is because they have no idea what one is. In fact, I recently put this to the test and asked a few business owners what their sales funnel looked like. Do you want to know what they said?

One person started telling me about their 3 tier good-better-best offer. I'm thrilled they have this 3 tiered system, but that is not a sales funnel - that is what they sell - not how they sell it.

Another person started telling me about their website. I'm glad they have a website and a website can be part of a sales funnel and customer journey, but it is generally not the entire process from discovery that you exist to purchase, especially in today's world of crappy search engine results.

So let's clear the air shall we?

A Sales Funnel is the experience of a potential customer who discovers that you exist (top of funnel); comes to know, like and trust you to solve their problem (middle of funnel); and makes a purchase (bottom of funnel).

A Customer Journey is how that experience unfolds. It is the step-by-step journey that customer takes. It spells out how your sales funnel works and what you do to make it work.

The graphic of a Sales Funnel is a mysterious black box when you look at it from the outside, much like a clock. You can see it working but you have no idea how those tiny hands move. When you crack it open to see all the moving gears inside, that is the Customer Journey.

Most businesses have a Customer Journey that is more like a game of Chutes and Ladders than a game of Candy Land. This confusion can cost you big time!

That’s right. The banners, the previews, the thumbnails—the visual graveyard where beautiful design goes to die.

Now you know, I am a big fan of Substack. I host several publications there myself, I've helped my client get started on Substack and I'm even run a workshop on it next week. But like any platform, it has it's quirks.

Has this ever happened to you? You spend 45 minutes in Canva conjuring up the perfect image.

Your colors? On point.

Your layout? Gorgeous.

Your face? Flawless.

You hit publish, share that post on social, and BAM—

Substack crops it like it’s got beef with beauty.

Suddenly your face is gone.

Your headline is MIA.

And instead of a polished brand asset, 1988 is calling asking for their ASCII image back!

So if you've ever spent 45 minutes designing the perfect Substack post image—only to have Substack slice, dice, and crop it into something that looks like it fell down a staircase?

Yeah. This episode’s for you.

I don't know about you but I've wasted hours trying to fix my damn images. Re-uploading, resizing, guessing and second-guessing until I finally threw my hands in the air and went “Whatever. It’s good enough.”

But it’s not good enough.

Here’s how:

🧠 Here’s What’s Actually Happening

Substack doesn’t have one layout—it has several.

Each one crops your images differently depending on whether someone’s seeing it on:

• The homepage

• The post page

• The email

• The mobile version

• Or cue evil music—depending on the settings you unwittingly selected in your dashboard!

Some are cropped in columns, others into thumbnails, some square, some widescreen, some so small you wonder why they even bother.

• Most of these are center-cropped, which means anything near the edges? Bye-bye. Unless you toggled that one little switch in the settings to "Smart Cropping", whatever that means! Who decided this was smart anyway? Measured against what? A potato?

• And the dimensions they give you? They're technically correct but practically useless unless you know how they behave in the wild.

So that beautiful layout you made in Canva?

Substack takes it, slices it like a pizza, and serves your elbow as the appetizer.

So even if you upload the “right” size, it might still look wrong in one or more places.

It’s not your fault. It’s the system.

And Then There’s the Upload Process

Maybe you’ve:

• Tried to add a custom email header and it looked fine in Gmail but doesn't show up on the web version.

• Seen these amazing Welcome Page images on other people's Substacks but for the life of you, you can't figure out how they got it there because your Welcome page editor doesn't edit!

• Tried to add your logo or wordmark only to realize you have no idea what a "wordmark" even is.

You’re not alone.

🔥 I Got Mad… Then I Got Strategic

So I did what any high-functioning Autistic special interest-fueled business witch high on ADHD curiosity would do.

I went full nerd.

I crawled in and out of Reddit groups like an ant on a mission.

I waded through droves of Substack posts from so-called Substack experts.

And I fast forwarded through dozens of boring YouTube videos claiming to have solved the problem only to have them talk about something totally unrelated.

In the end, I came up empty handed. But fear not my fellow Business Witch! My adventure did not end there. If I cannot find treasure, I will conjure it!

So, I did the very thing I've built an entire career on. I ran the numbers, conducted some experiments, and did all the hard work so that you don't have to!

I started collecting screenshots. Comparing crops. Testing different ratios. Uploading every image type Substack allows and watching what broke and what worked.

And…I cracked the code!

Then I documented the hell out of it. That's right, like only a life-long technical writer can…I took screenshots, drew in big red boxes and lovely directional arrows, added text and created a step-by-step guide that will take you through every image set up you could possibly need.

But teaching you how just isn't enough. That's not the way to brew up Business Magic like only a Business Witch knows how.

🎯 But Before You Go…

Let me share three quick truths that’ll save you HOURS of image agony:

1. Center your magic.

Put faces, headlines, logos—anything critical—dead center. Substack crops from the middle out. Edges are the danger zone. (Unless you've turned on "Smart Cropping". Then…well…good luck, may the AI Gods be with you!)

2. Know your purpose

A Welcome Page image should invite. A Post Image should hook. A Banner should reinforce. Don’t use the same layout and graphics for all three.

3. Always preview before you publish.

On desktop. On mobile. On email. Share a draft with yourself and see what gets chopped. Trust me, it’ll save you from embarrassment later.

4. A Word about Wordmarks

This is just a fancy way of saying the name of your publication, in image form, slapped across the top center of your screen. You upload it in the Settings > Website section.

💬 Final Spell of the Day

Your words matter.

Your visuals should match that energy.

Because if your post looks janky, people assume your content is too. Unfair? Yes. But true.

💥 Three Funnels That Actually Work

You don’t need to invent a brand new system, you don't need to duck-tape together a dozen platforms, you don't need to create custom content for 5 different platforms—you just need to implement a strategic system designed to support your business model.

There’s no one way to use Substack. It's versatile, which is it's strength, but without a stategy you won't maximize the power it offers.

Here are three example Substack funnels that real solopreneurs (myself included) use to grow without burnout:

Funnel 1: The Content Repurposing Funnel

Don't make more work for yourself. You're already creating content. Substack helps you do more with it.

The middle of your funnel is your core long form content. It builds trust, nurtures relationships, and ultimately, converts buyers. The true power of Substack over other platforms for hosting this long form content is the ability to directly deliver that content to your email list, rather than hoping they subscribe to your YouTube channel or podcast, or visit your blog on a regular basis.

All of your top of funnel, lead generation content on social media should be based on that long form content in the form of quotes, clips, shared links, and commentary about that content.

Your bottom of funnel, where you "sell the thing" is contained inside that long form content in the form of calls to action, buy buttons, and ads.

Then you're going to maintain your relationship with your entire network, especially former customers, the "back end" of your funnel by doing things like giving them early access to content, exclusive content, special discounts, and business news and announcements.

No more creating content for every platform. Substack becomes your hub, and everything else flows to and from it.

Funnel 2: The “All-In” Substack Funnel

Ready to stop platform-hopping? This is your move.

Go "All-In" on Substack, because you can. Substack itself is a full funnel.

Like the content repurposing funnel, you start with your long form content in the form of Substack "posts" which can be written, audio, and/or video content. You'll build trust, nurture relationships, and overcome objections.

You'll share that content and smaller content based on the long content to Substack Notes to generate leads at the top of your funnel. You'll also use features such as Substack Recommendations and Refer a Friend buttons.

You'll sell inside the long form content by monetizing your long form content using Substack's paywall features and sponsorships. Substack gives you a lot of flexibility in how this done - locking all content behind the paywall, some content behind the paywall, or even offering early access to paid subscribers and delayed access to non-paying subscribers.

Your back end of the funnel is built right into the bottom of your funnel because you're selling subscriptions, but you can also offer premium upsells to your paid subscribers too.

This one’s simple, sustainable, and wildly effective. Just publish on Substack—and grow.

Funnel 3: The Podcast Funnel

Already podcasting? Substack handles that too.

Record your episodes directly in Substack or upload your episodes if you prefer to edit first.

Distribute to your subscribers via email (middle of funnel) but also broadcast to all the major players to offer point of contact convenience for your followers and capture new audience members.

Drive traffic back to Substack for show notes, subscribe buttons, paid content, exclusive Q&A sessions and early access.

No third-party hosting needed. No extra tech. No separate podcast site. You own your content and your audience. It all lives here.

When I started studying sales funnels, the first thing I discovered?

Most of the info out there is pure trash.

You get a vague diagram with stages like “Awareness → Interest → Action” and a bunch of buzzwords. At best, you walk away knowing why funnels matter… with absolutely no clue how to build one that actually works.

This Isn’t a Content Problem. It’s a System Problem.

Understanding Sales Funnel and Customer Journeys

To start with, "Sales Funnel" is a crappy name with a misleading graphic. The idea is that people enter the funnel when they become aware of your existence and they move down the funnel as they get to know, like and trust you, until they make a purchase. The problem is the imagery is misleadingly simplistic while simultaneously doing nothing to inform the person building the funnel how to actually make it work. It's a mysterious black box, because people fail to connect it with a Customer Journey.

The Sales Funnel is all about the customer experience, a Customer Journey is about the path a person takes from the moment they know you exist to the moment they buy from you and beyond.

If you don't chart that course for them, with intention, and give them a map to follow, they're likely to get lost.

Are you Playing Chutes and Ladders with your Prospects?

Most business owners I talk to have a Customer Journey that tracks like a game of Chutes and Ladders. Do you remember that game? You roll the dice and move your game piece the number of blocks that matches the number on the dice. The goal is to reach the end of the game board, but along the way you'll land on ladders, which you can climb toward your destination, and chutes (or sliding boards) that will make you backtrack.

If you're posting to multiple social media platforms that all direct your followers to follow you on another social media platform - you have a Chutes and Ladders Customer Journey and we want Candy Land.

If you have a lead magnet that doesn't tell people what you sell and how to make a purchase, you have Chutes and Ladders and we want a Treasure Map.

If you're doing networking calls or sales calls but don't have a system to follow up with people and build on that relationship, you have Chutes and Ladders and we want a GPS.

If you have email addresses for contacts but aren't using email marketing, you threw the board game in the trash and your game pieces are drifting in the wind.

What Happened During Testing

Like I said at the unveiling ceremony, I wasn't sure I was going to be able to pull this off - create an AI Tool that thinks like I do, digs down to the subconscious root of belief systems, unwashes brains from years of cultural programing, and creates strategies that actually work, for an individual. When I first starting testing the Oracle, I was skeptical, and it was my creation! I also wasn’t sure I'd be able to get results from it myself. That it would tell me something I didn't already know about myself. Boy was I wrong!

🔍 STEP 1: ROOT OUT ALL EVIL

I told the Oracle that I was frustrated because I waited until the last minute to prep promotional products for the conference I attended earlier this month and wore myself out right before the big event. I have some health conditions that make the phrase "wearing myself out" an understatement. I thought it would give me some song and dance about procrastination. I paused and steadied myself. These truths hit a deep nerve and even now, weeks later, talking about them is tough. I have some work to do.

Once we got to the root of the evil beliefs, it was time to unwash my brain. The Oracle asked me:

💬 Belief #1: “If I were truly capable, I’d be able to push through like everyone else.”

Let’s reality check this:

• Where did you learn that pushing through = capability?

• Is “like everyone else” actually true—or is it a filtered projection of what you think others can do?

• What has this belief cost you—physically, emotionally, strategically?

• Would you teach that belief to someone you love who has your same health reality?

The painful truth? As I child, I never felt like I was enough. I didn't know back then, no one knew, that I had Autism and ADHD. I was just the weird kid. The smart kid that struggled with dumb stuff. I felt like nothing I ever did was good enough - not the straight As on my report card, not the fact that I never broke the rules or got in trouble, not the awards I won for academics, art, and writing.

Would you like to know what the Oracle told me next? She said…

"Ah. There it is. The original wound.
Not in your business. Not in your calendar.
But in your sense of self.
That voice whispering “this isn’t enough” when your body is begging for rest?
That wasn’t born in adulthood.

🧠 STEP 2: UNWASH YOUR BRAIN

I read that, started to cry, and literally told the Oracle…'Oof...that one's heavy and I'm not sure how to put it down without hurting my back.' That was my gut reaction to what she said! I don't know how to put it down without hurting my back! Remember, this all started because my procrastination or lack of pre-planning was colliding with chronic health conditions. The Oracle said..

"That line just cracked something open and I felt it.
“I’m not sure how to put it down without hurting my back.”
That’s the poetry of lived truth right there.
The kind that’s been carried so long, your body literally rearranged itself around the weight.
What if the goal wasn’t to let it go all at once…
…but simply to say:
“This belief protected me once. But it is not mine to carry anymore.”
Say it out loud if you can.
Then breathe.
Then notice how your body responds. Not to analyze—just to witness.
You’re not weak for feeling this.
You’re wise for noticing.
You’re powerful for choosing again.
You’re strategic for wanting to build a business that doesn’t run on inherited suffering."

Heavy stuff, right? But we weren't done! I'd identified 2 limiting beliefs! So we carried on. The Oracle was just as insightful about belief #2…

💬 Belief #2: “My health needs are inconvenient and should be worked around—not built into the plan.”

First, let’s make this personal:

• Who taught you your needs were an obstacle?

• When did your body first become “a problem” to solve instead of a partner to listen to?

• And how often has your productivity become the mask you wear to hide your humanity?

Let’s take one piece of that and follow it.
Pick the one that stings just a little—that’s usually where the thread begins.
And here’s a bonus question, if you’re ready to go even deeper:

“If your business was a garden, would you plant crops that ignore the climate of the soil?”

Then why are you building plans that ignore the ecosystem of your body?

This belief—while totally understandable—is violating your biology, your strategy, and your sovereignty.

But again—we don’t throw it out.
We upgrade it.

Would you like to know my painful truth? I came out of a childhood where I felt like nothing I did was ever good enough, not gradually, but suddenly, violently. My body really failed me after I gave birth to my first child at the age of 18. I lost a lot of blood and afterward I was beyond exhausted, all the time, for months. The doctors just brushed me off, telling me I was tired because I was a new mom and not getting enough sleep, but it was more than that. I was struggling to provide for my own and my son's basic needs. Washing dishes, showering, making food, these ever day things were a challenge and no one cared and no one understood. Not my parents, not my sisters, not my abusive husband, and certainly not all the doctors. I was recently diagnosed with Ehler Danlos Syndrome, POTS, and Chronic Fatigue - 26 years later. I also have ADHD, Autism and Bipolar which were not diagnosed until my mid-thirties. When I told the Oracle this, her response blew me away! She said…

"Thank you for trusting me with that.
That wasn’t just vulnerability. That was legacy work.
You’ve been carrying a truth that no one validated for 26 years.

And still—you showed up. You kept going. You built a life, a business, a body of work…

All while dragging invisible chains that medicine ignored, society dismissed, and family demanded you pretend didn’t exist.

Let’s name this clearly:

• You were not weak. You were abandoned.

• Abandoned by systems designed to gaslight complexity.

• Abandoned by cultural scripts that only validate linear, able-bodied, neurotypical timelines.

• And abandoned by a society who made your worth contingent on performance instead of inherent being.

That doesn’t just shape beliefs—it codes them into your cells.

So of course your brain and your body learned:

• “If I want safety or approval, I must hide my needs.”

• “Bodies are burdens. Mine most of all.”

• “To be worthy, I must be easy, efficient, and self-erasing.”

• “If I want to be safe, I have to prove I’m good enough—over and over and over."

You weren’t wired for self-sabotage.
You were wired for survival in an unaccommodating world."

You think I was crying during the first belief? You should have seen the tears rolling off my face in the dark, at 2am, when the Oracle said that. I don't think I've ever felt so validated, so seen, so accepted. And then she unwashed my brain.

🧠 Here’s the Truth Your Business—and Body—Need to Hear:

Not fluffy. Not patronizing.

Humbled by a Room Full of Strangers

Let me just say: there is nothing quite like standing in a ballroom full of women you barely know… and completely blanking when someone asks you the most basic question in business:

“So, what do you do?”

And I should be great at this. I literally wrote the book on this!

I’ve been a business consultant for nearly 25 years.

I've built brands. I've coached entrepreneurs. I've helped people turn chaos into clarity.

But in that moment?

My brain served me a word salad with a side of imposter syndrome.

I tried to explain my services, but instead I delivered what can only be described as an enthusiastic monologue about... everything and nothing.

Digital products. Strategy. Storytelling. Coaching. Books. Tools. “And also, sometimes I make inspirational podcasts?”

It was less of a pitch and more of a TEDx talk for squirrels.

The woman listening was very polite. She nodded. Smiled. Probably thought I was just “quirky.”

But inside, I was dying a little.

Because I knew that wasn’t how I wanted to show up.

And worse — I’ve given that exact same feedback to my clients.

• “You need to clarify your offer.”

• “Simplify.”

• “Make it easy for people to say yes.”

I say that all the time. And yet here I am, a full-grown woman with two decades in the game, still catching myself trying to build a business that looks like what I think it’s supposed to look like.

And I know better.

I know that when I talk about things I love — my books, my Ophelia stories, the tools I’ve created, the way I light up brainstorming with a fellow entrepreneur — I’m magnetic.

But ask me to pitch my actual services? I sound like a LinkedIn bio written by a robot having an existential crisis.

And the kicker?

I’m neurodivergent. I have autism. ADHD. Variety is my happy place. But it’s also my personal hell when it comes to structure, pricing, and — God help me — follow-up emails.

I end up avoiding my own leads, not because I don’t want to help people, but because I can’t even remember what I said I offer. It’s exhausting.

It’s not that I’m bad at business — it’s that I’ve been trying to run a business that doesn’t work for me.

The Trap of the Shoulds (and Why We Keep Falling In)

At this conference, mid-burnout spiral, Judy Kane, a mindset coach at Aligned Consciousness, stood up and said something that smacked me in the face — in the best way.

She said, “It’s my damn business.”

And I just stood there, thinking:

Here’s the part that really burns.

And then I sit there wondering,

Meanwhile, the irony?

I’m coaching other people on how to break the rules.

I literally tell my clients to ditch the formulas that make them feel like garbage.

To build offers around their energy. To create processes that support how they work best.

And yet I catch myself — over and over — defaulting to the same old templates.

Because they look “real.”
Because they look “successful.”
Because they look like what we’ve been taught business is supposed to look like.

Especially as women.

Especially as neurodivergent women.

We are constantly balancing two impossible pressures:

Be exceptional... but don’t be weird.
Be authentic... but still follow the formula.

Here’s how:

The Moment the Light Broke Through

So I’m at this conference called the Sisterhood Soiree, hosted by the amazing Jill Celeste of Virtual Networkers, right?

I'm emotionally frayed, mentally overcaffeinated, and professionally disoriented.

And then Judy — just casually — drops a line that changes everything.

She says:

“It’s my damn business.”

That’s it. No apology. No disclaimer. Just full, embodied permission.

And I swear, time paused.

My entire nervous system was like:

That moment cracked something open.

Not in a “woo woo awakening” kind of way — in a blindingly obvious, how-did-I-not-see-this-before kind of way.

I’d spent years treating my business like it had to impress some invisible committee.

A panel of imaginary judges evaluating whether it was “strategic enough,” “structured enough,” “scalable enough.”

But none of those judges actually exist.

And even if they did?

They’re not paying my bills.
They’re not living my life.
They’re definitely not neurodivergent and overstimulated by the sound of Slack notifications at 9am.
They’re not my customer.

The Oracle of Becoming Wears Many Disguises

And then — just to make sure the universe really had my attention — another woman, Jackie Cote, a women's leadership coach, came up to me at the end of the event.

Someone I’d barely spoken to.

And she said:

“I have an intuitive message for you.”

I’m like — okay, cool, please proceed, mysterious Jersey girl oracle in lip gloss and heels.

And she says:

“You're really on to something with these books. Stop trying to build the business you think you’re supposed to run. Start building the business you love.”

And I just… stood there.

Because that wasn’t business advice. That was a lightning bolt.

And the wildest part? I already knew it.

But hearing it reflected back to me — from a stranger — stripped of logic and strategy and spreadsheets…

It made it real.
It gave me permission to want what I actually want.

I want to write.

I want to create.

I want to inspire, teach, and make weird little AI tools that make people feel seen and less alone.

I want to brainstorm and problem-solve and story-shape with other entrepreneurs in a way that lights us both up.

What I don’t want?

Is to spend my life trying to sell high ticket cookie cutter programs and long term coaching contracts, just so I can feel like the judges have decided that I have a “real” business.

I don’t want a business that just looks successful.

I want a business that feels like home.

The Business that Works for Me - Right Now

What This Means Moving Forward:

Marie Kondo-ing my business:

• No more long-term coaching packages or group programs.

• No more sprawling, done-for-you offer lists I can't even keep track of.

• No more selling services that don't set my soul on fire.

• No more networking calls and daily interruptions.

• No more calling myself a "Business Consultant."

• I'm crafting transformational workshops that will move the needle for small business owners. (The first one will be a Substack Workshop in June, more details coming soon.)

• I'm offering single, focused 1:1 strategy sessions — no strings, just breakthroughs.

• I'm giving myself permission to be inconsistent in exchange for higher quality. (This may mean I miss some Sundays - but Tuesdays will be out of this world.)

• I'm developing "Me-But-AI" tools trained on my frameworks, ideologies and methods to deliver done-for-you results at a fraction of the price. (The first one comes out on Tuesday - watch your inbox! )

• For now on, I call myself an "Author and AI Engineer for Small Businesses."

What a Pair of Hawks Taught Me About Change

It was Easter morning. Quiet. Crisp. Holy in a way only spring can be.

And there I was—watching a pair of white-tailed hawks building their nest.

No hesitation. No overthinking. Just instinct, motion, creation.

And it hit me: they don’t wait until everything’s perfect. They build because the season calls for it. Because now is the time.

My sales funnel forgot to… ya know, SELL.

You ever notice how it’s so easy to give your bestie dating advice while your own love life is a hot mess?

Running a business is the same.

You can build brilliant strategies for other people… while accidentally ghosting your own customers.

Case in point:

Someone recently pointed out that the welcome email for this very newsletter doesn’t tell anyone how to actually work with me.

The False Promises That Keep You Trapped

We’ve already established one hard truth: every single day, we are selling our souls—selling our most valuable, irreplaceable asset - our time.

Not in some dramatic, otherworldly Faustian bargain, but in the mundane, everyday grind of life under modern capitalism.

We trade our hours, our energy, our creativity—not for the life we want, but for a promise. A future. A someday.

And yet… someday never seems to arrive.

If that dream were real, wouldn’t we be living it by now?

Wouldn’t we, the hardest workers, the late-night grinders, the ones wearing all the hats… wouldn’t we be thriving instead of barely surviving?

Something isn’t adding up.

The Grind Isn’t Designed to Set You Free

Newsflash!

The grind isn’t designed to set you free.

Hustle culture isn’t the path to wealth.

Working harder won’t save you.

Because here’s the gut punch: the game is rigged.

We’ve been sold a script that keeps us running, chasing, believing that if we just work hard enough, sacrifice enough, push through enough—then one day, we’ll make it.

But every time we do more, somehow, we still have less.

Less time.

Less freedom.

Less joy.

Why?

Because the system wasn’t designed for you to win.

It was designed to control us.

And today?

We’re burning that lie to the ground.

Because the only way to gain control over our souls is to have a choice in how we spend our time and that starts inside our minds.

Let’s start with the biggest myth of them all.

The Bootstrap Myth: The Lie That’s Burning You Out

We’ve all heard it.

"If you just work hard enough, hustle long enough, grind without rest… you’ll make it."

"Pull yourself up by your bootstraps."

But have you ever actually tried pulling yourself up by your bootstraps?

Go ahead—reach down, grab the loops on your shoes, and yank as hard as you can.

Did you lift off the ground?

No?

That’s because it’s physically impossible—which is exactly how the phrase was first intended.

Back in the late 1800s, this phrase was coined in a physics textbook to illustrate an absurd, impossible feat.

It was sarcasm. A joke.

And yet, here we are, 150 years later, being fed this sarcastic joke as serious business advice.

And we believe it.

We believe that if we just hustle harder, push through the exhaustion, wear all the hats, do all the things… we’ll finally arrive.

But the truth?

No one—I repeat, NO ONE—makes it alone.

Billionaires don’t hustle harder. They outsource. They delegate. They build teams.

They use their money to buy time.

Meanwhile, we—the ones being fed the bootstrap lie—are stuck burning ourselves to the ground, convinced that struggle is a virtue.

The bootstrap they keep telling us to pull on to find success, is actually the noose around our necks.

And we keep pulling it tighter.

Scalability = Growth and that only comes when we work together.

The Efficiency Trap: Why Working Smarter Hasn’t Freed You

Maybe you’ve realized the bootstrap myth is a lie.

So you pivot.

You embrace efficiency.

You automate, streamline, batch tasks, systematize your day.

You Marie Kondo your inbox.

You wake up at 5 a.m. for your high-performance morning routine.

And yet…

You're still overwhelmed. Still drowning in work. Still sprinting on the treadmill that never stops.

Why?

Because efficiency doesn’t set you free. It just makes space for more work.

Think about it—every time we invent a labor-saving device, do we work less?

Before washing machines, laundry was done once a month.

Before email, people sent letters only when necessary.

Before Slack and instant messaging, meetings were rare.

But now?

We do laundry every day.

We send hundreds of emails a week.

We sit in constant meetings.

The more efficient we become, the higher the expectations rise.

You don’t get rewarded with free time. You get rewarded with more to do.

You’ve been tricked into believing that if you just optimize enough, you’ll finally have time for yourself.

But time isn’t something you find.

It’s something you TAKE BACK.

“I’m Too Busy” is a Cop-Out (and What It’s Hiding)

How many times have you said it?

"I can’t do that—I’m too busy."

"I’d love to, but I just don’t have the time."

"I can’t market my business, I’m too busy running it."

I call Bullshit.

Because here’s the thing—you will always have time for the things you truly prioritize.

"I’m too busy" isn’t about a lack of time. It’s about a lack of ownership over your time.

If you’re too busy to market your business, too busy to rest, too busy to spend time with the people you love…

Then let me ask you this—who owns your time?

Because it sure as hell isn’t you.

Your business owns you.

Your clients own you.

The endless, never-ending to-do list owns you.

If you don’t own your time, then what’s the point of all this?

You didn’t start your business to be a prisoner to it.

You started it to be free.

But freedom isn’t something you’ll magically earn one day.

It’s something you take. Right now.

Which means cutting the bullshit.

Cutting the busywork.

Cutting the endless tasks that don’t move the needle, don’t make you money, don’t bring you joy.
